Sōleïa Surf Terms & Conditions

Welcome to Sōleïa Surf

Sōleïa Surf welcomes you to our immersive surf experience in the heart of Bali. These Terms and Conditions govern your participation in our surf camps, accommodations, and related services. By booking with us, you agree to abide by these terms. Please read carefully to ensure a smooth and enjoyable stay.

1. Booking and Payment

Your booking is made to Solid Surf Holidays Indo Group Limited, a Hong Kong based company, operating under the commercial name Soleïa Surf. Your holidays in Indonesia will be handled by PT Bali Ombak Biru, an Indonesian registered company, who will run all the operations regarding your stay.

a) Reservation Confirmation: A non-refundable deposit or full payment, as specified during booking, is required to secure your reservation. Confirmation occurs upon receipt of payment.

b) Payment Deadline for Surf Academy: Full payment is due no later than 30 days prior to arrival.

c) Payment Methods: We accept credit/debit cards, bank transfers, or other methods listed on www.soleiasurf.com or provided by our team.

d) Additional Charges: Costs for transportation, equipment rentals, or optional activities will be communicated before arrival or at check-in and must be settled accordingly.

e) Price Variations: Prices may fluctuate due to exchange rates.

f) Fees: A 3.5% processing fee applies to credit card payments; bank transfer fees may apply per your bank’s policy.

2. Cancellation Policy

2.1 Cancellation Policy and Refunds for Surf Holidays, Surf Safari & Surf Progression

a) Free cancellation is available within 24 hours of booking.

b) Cancellations are accepted only for serious reasons: medical conditions, natural disasters, acts of terror, unforeseen travel changes imposed by governments, or a death in the family.

c) Requests for cancellation must include valid proof, such as a signed medical note from a licensed practitioner.

d) A change of plans or missed/canceled flights is not a valid reason for cancellation.

e) Cancellations with valid proof can opt for a refund or reschedule.

f) Refunds are based on the time before check-in:

  • More than 120 days: 100% refund.
  • Between 120 and 60 days: 75% refund.
  • Between 60 and 30 days: 50% refund.
  • Between 30 and 14 days: 25% refund.
  • Less than 14 days: No refund.

g) Rescheduling is at Sōleïa Surf discretion, based on availability.

h) Full payment for all surf holidays, surf progression, and surf safari packages are required to secure your spot with 24 hrs free cancelation

i) Academy bookings require a 25% deposit to secure your spot with full payment required 30 days before arrival

j) Bookings remain pending for 24 hours or until payment is made. Unpaid bookings are automatically canceled after this period. Bookings are confirmed only when payment is received and a confirmation email is sent to the booker's provided email address.

2.2 Cancellation Policy and Refunds for Surf Academy

a) Cancellation over 12 weeks before arrival date – possible to reschedule Surf Academy Course for a IDR. 8.600.000, fee per person. In that way your holiday is not completely lost.

b) Cancellation 8 weeks before arrival date – possible to reschedule Surf Academy Course for a IDR. 10.500.000, fee per person. In that way your holiday is not completely lost.

c) Cancellation under 4 weeks before arrival date – loss of 100% of holiday cost. No reschedule possible.

3. Refunds

Refunds, if applicable, will be processed within 14 business days, based on the cancellation charges outlined above.

4. Modification of Reservations

Communicate changes early. We’ll accommodate adjustments subject to availability, though rate changes or additional fees may apply.

5. Force Majeure

Unforeseen events like natural disasters or political unrest may waive or modify cancellation policies, assessed case-by-case.

6. Participation and Safety

a) Health and Fitness: Surfing is physically demanding. Confirm your fitness; consult a doctor if needed.

b) Skill Level and Lessons: We cater to all levels. Accurately assess your skills and select the right package. We may adjust upon arrival for safety.

c) Safety Guidelines: Follow all staff instructions on surf etiquette, equipment use, and water safety.

7. Payment

The following payment terms are applying when a booking is made.

7.1 Surf holiday, surf progression & surf safari packages – All bookings require 100% payment within the 24hrs of the initial booking offer to secure the spot. Once the confirmation on our side has been dispatched

7.2. Full payment for all surf holidays, surf progression, and surf safari packages are required to secure your spot with 24 hrs free cancelation

7.3 Academy bookings require a 25% deposit to secure your spot with full payment required 30 days before arrival

If the deposit or final payment has not been received by this within our set time frames we reserve the right to take another booking if the opportunity arises, with no option for a refund of what is already has been paid.

Not paying does not mean the booking automatically has been cancelled as we maintain a certain reasonably flexibility for guest to make a transfer and for the bank transfers to come through. This is a matter of trust we put into our guests that we will not receive fake bookings but only receive bookings with the intention to really book with Sōleïa Surf.

Please note the final balance will still be due and payment obligation still exists according our cancellation policy if we have no other booking that has replaced the original booking.

8. Cancellation of a Holiday by Sōleïa Surf Guests

If you are obliged to cancel your booking you should write to Sōleïa Surf immediately. Free cancellation is applicable within 24 hours after we received the booking form with exception of bookings made within 14 days before arrival dates. Bookings within 14 days before arrival date can not be cancelled and require 100% compensation.

After 24 Hours the following sliding scale determines the fee to reschedule your holiday:

8.1 Sōleïa Surf Camp
– Cancellation over 6 weeks before arrival date – possible to reschedule your holiday for a IDR. 2.800.000, fee per person. In that way your holiday is not completely lost.

– Cancellation 4 – 6 weeks before arrival date – possible to reschedule your holiday for a IDR. 3.800.000, fee per person. In that way your holiday is not completely lost.

– Cancellation under 4 weeks before arrival date – loss of 100% of holiday cost. No reschedule possible.

8.2 Sōleïa Surf Academy
– Cancellation over 12 weeks before arrival date – possible to reschedule Surf Academy Course for a IDR. 8.600.000, fee per person. In that way your holiday is not completely lost.

– Cancellation 8 weeks before arrival date – possible to reschedule Surf Academy Course for a IDR. 10.500.000, fee per person. In that way your holiday is not completely lost.

8.3 Refunding & Rescheduling
Sōleïa Surf is not able to give any refunds. Every guest is responsible for their own travel & cancellation insurances in case of loss of the holiday costs. A travel- and cancellation insurance is fully the guests responsibility.

Sōleïa Surf reserves the right to pursue any outstanding amounts of the initial booking offer fee with our international debt collection agency to honor the contract and agreement in full. All forth-coming costs are forwarded and will be calculated accordingly.

9. Covid / Pandemic / War

This applies when bookings are made during a ongoing war or pandemic, when there is already awareness of the war or pandemic situation.

We only offer a war or pandemic related voucher that is valid for a maximum of 2 years. Non pandemic provided vouchers are valid for 1 year.

We only provide reschedule/vouchers in case that we have to cancel or postpone the holiday due to circumstances we consider ‘force majeur’ such as closed borders that prevents guests of entering the country of destination, closing of the surf house, anything that makes it impossible to receive our guest and to operate.

All other reasons that are not happening on our side are not open for reschedules, especially when the borders are open for tourism. We expect that the traveller has the proper insurances prepared and arranged when travelling during a war or pandemic which will cover them against unforeseen circumstances on their side: such as cancelled flights, testing positive etc.

Cancellation of direct flights with the option of arranging flights through transits with open borders of the holiday destination is not eligible for refunds or reschedule / vouchers. Since it is not impossible to reach the destination.

In case of other government irregularities as during a war or pandemic where governments can decide locally to put lockdowns, evening curfews, close down beaches for undetermined time, Sōleïa Surf  will not refund or offer any reschedules, when the traveller has already arrived on destination. The traveller takes part in the risk of travelling during a war or pandemic with all possible forthcoming consequences, risks and regulations.

A traveller should insure themselves at all times for travelling during a war or pandemic and have the proper insurances arranged prior to booking a holiday. This to protect themselves for any unforeseen circumstances.

A traveller should be aware that he or she participates in the financial risk that travelling during a war or pandemic will bring with it.

10. Liability

a) Personal Belongings: We’re not liable for lost, stolen, or damaged items; use safety deposit boxes if available.

b) Surfing and Activities: Risks are inherent. We take safety measures but aren’t liable for accidents or losses.

11. Surfboard Rental & Insurance

a) Responsibility: You’re liable for damage or loss to rented equipment during use, insured or not.

b) Damage Assessment: Staff will evaluate damage, charging repair costs or replacement value.

c) Insurance Coverage: Optional insurance (IDR. 287.000/day) covers accidental damage during normal use.

d) Coverage Limitations: Insurance excludes intentional damage, loss, theft, or negligence.

e) Proper Use: Use equipment responsibly within your skill level.

f) Personal Injury: We’re not liable for injuries during equipment use, insured or not.

12. Changes and Modification

We may adjust itineraries (e.g., lesson schedules, surf spots) due to weather or safety, notifying you promptly.

13. Package Inclusions

Includes airport transfers for 7+ night stays, yoga, family dinners, and BBQs on specific days (limited if staying less than 7 nights).

14. What’s Not Included

a) Boat transfers to outer reefs (IDR 100,000–250,000/person) are excluded.

b) Entrance fees to beaches or surf spots are not covered.

15. Insurance

Everyone booking a holiday with Sōleïa Surf must have full travel insurance & cancellation insurance. Sōleïa Surf accepts no responsibility for loss theft or damage to persons or property during their stay.

We will not issue any refunds that are caused due to delay, visa refusal, entry refusal, flight cancellations, war, acts of God, injuries or death of 2nd or 3rd degree family, relatives, friends, any other reason that Sōleïa Surf has no part in. In some cases we could offer a reschedule under certain conditions. We expect however that our guest have the proper cancellation insurances in place to protect them from events Sōleïa Surf has no cause and part in.

16. Data Usage

Guests may be photographed/filmed during activities. By booking, you consent to their use for marketing on Instagram, Facebook, and other platforms.
