Sōleïa Surf Terms & Conditions
Welcome to Sōleïa Surf
Sōleïa Surf welcomes you to our immersive surf experience in the heart of Bali. These Terms and Conditions govern your participation in our surf camps, accommodations, and related services. By booking with us, you agree to abide by these terms. Please read carefully to ensure a smooth and enjoyable stay.
1. Booking and Payment
Your booking is made to Soleia Surf Holidays Indo Group Limited, a Hong Kong based company, operating under the commercial name Sōleïa Surf. Your holidays in Indonesia will be handled by PT Bali Ombak Biru, an Indonesian registered company, who will run all operations regarding your stay.
a) Reservation Confirmation
A non-refundable deposit or full payment, as specified during booking, is required to secure your reservation. Confirmation occurs upon receipt of payment.
b) Payment Deadline for Surf Academy
Full payment is due no later than 30 days prior to arrival.
c) Payment Methods
We accept credit/debit cards, bank transfers, or other methods listed on www.soleiasurf.com or provided by our team.
d) Additional Charges
Costs for transportation, equipment rentals, or optional activities will be communicated before arrival or at check-in and must be settled accordingly.
e) Price Variations
Prices may fluctuate due to exchange rates.
f) Fees
A 3.5% processing fee applies to credit card payments; bank transfer fees may apply per your bank's policy.
2. Payment Terms & Non-Payment Policy
The following payment terms apply when a booking is made.
2.1 Surf Holidays, Surf Progression & Surf Safari
- Full payment is required within 24 hours of the initial booking offer to secure the spot.
- A 24-hour free cancellation window applies from the moment of booking.
2.2 Surf Academy
- A 25% non-refundable deposit is required to secure your spot.
- Full payment is due no later than 30 days before arrival.
2.3 Payment Grace Period
Sōleïa Surf allows a reasonable grace period of up to 5 business days from the booking date to accommodate bank transfer processing times. Beyond this period, the payment deadlines in sections 2.1 and 2.2 apply strictly.
2.4 Non-Payment & Cancellation by Sōleïa Surf
If full payment is not received by the applicable deadline, the following procedure applies:
- Sōleïa Surf will issue a written payment reminder via email and/or WhatsApp.
- If payment is not received within 48 hours of that reminder, Sōleïa Surf reserves the right to cancel the reservation without further notice.
- Upon cancellation for non-payment, any deposit or partial payment already made is non-refundable.
- Sōleïa Surf reserves the right to reallocate the spot to another guest immediately upon cancellation.
Non-payment does not automatically cancel a booking, but failure to respond to payment reminders within 48 hours constitutes acceptance of cancellation on the guest's part.
Please note: the financial obligation for the full booking amount may still apply in accordance with the cancellation policy (Section 3) if the spot has not been reallocated to another guest.
Sōleïa Surf reserves the right to pursue any outstanding amounts through our international debt collection agency. All forthcoming costs are forwarded and calculated accordingly.
3. Cancellation Policy
3.1 Cancellations for Surf Holidays, Surf Safari & Surf Progression
- Free cancellation is available within 24 hours of booking.
- Cancellations are accepted only for serious reasons: medical conditions, natural disasters, acts of terror, unforeseen travel changes imposed by governments, or a death in the immediate family.
- Requests for cancellation must include valid proof, such as a signed medical note from a licensed practitioner.
- A change of plans or missed/cancelled flights is not a valid reason for cancellation.
- Cancellations with valid proof can opt for a refund or reschedule.
Refund schedule based on time before check-in:
- More than 120 days: 100% refund
- Between 120 and 60 days: 75% refund
- Between 60 and 30 days: 50% refund
- Between 30 and 14 days: 25% refund
- Less than 14 days: No refund
Rescheduling is at Sōleïa Surf’s discretion, based on availability.
3.2 Cancellations for Surf Academy
- Cancellation more than 12 weeks before arrival: reschedule possible for IDR 8,600,000 per person.
- Cancellation 8 weeks before arrival: reschedule possible for IDR 10,500,000 per person.
- Cancellation under 4 weeks before arrival: 100% loss of holiday cost. No reschedule possible.
3.3 Cancellation by Guest – Surf Camp
If you need to cancel your booking, you must notify Sōleïa Surf in writing immediately. Free cancellation is applicable within 24 hours of booking, except for bookings made within 14 days before the arrival date (which require 100% compensation).
After 24 hours, the following fees apply:
- Cancellation more than 6 weeks before arrival: reschedule for IDR 2,800,000 per person.
- Cancellation 4–6 weeks before arrival: reschedule for IDR 3,800,000 per person.
- Cancellation under 4 weeks before arrival: 100% loss of holiday cost. No reschedule possible.
4. Refunds
Refunds, if applicable, will be processed within 14 business days based on the cancellation charges outlined in Section 3.
Sōleïa Surf is not able to give refunds outside of the conditions described in Section 3. Every guest is responsible for arranging their own travel and cancellation insurance to cover potential losses.
5. Modification of Reservations
Please communicate any changes to your reservation as early as possible. We will accommodate adjustments subject to availability, though rate changes or additional fees may apply.
6. Force Majeure
Unforeseen events such as natural disasters, political unrest, pandemics, or government-imposed travel restrictions may result in the waiving or modification of cancellation policies. Each case will be assessed individually.
7. Covid / Pandemic / War
This section applies when bookings are made during an ongoing war or pandemic, when there is already awareness of the situation.
- Sōleïa Surf will only offer a war or pandemic-related voucher, valid for a maximum of 2 years. Non-pandemic vouchers are valid for 1 year.
- Reschedules or vouchers are only provided when Sōleïa Surf must cancel or postpone due to force majeure circumstances (e.g. closed borders preventing guests from entering, closure of the surf house).
- All other reasons not on Sōleïa Surf’s side — including cancelled flights, positive tests, or personal decisions — are not eligible for reschedules or refunds.
- Cancellation of direct flights when transits are available with open borders does not qualify for refunds or reschedules.
- Guests are expected to hold appropriate travel and cancellation insurance when booking during a war or pandemic.
8. Participation and Safety
a) Health and Fitness
Surfing is physically demanding. Please confirm your fitness level before booking; consult a doctor if needed.
b) Skill Level and Lessons
We cater to all levels. Please accurately assess your skills and select the right package. We may adjust upon arrival for safety.
c) Safety Guidelines
Follow all staff instructions on surf etiquette, equipment use, and water safety at all times.
9. Liability
a) Personal Belongings
Sōleïa Surf is not liable for lost, stolen, or damaged personal items. Use safety deposit boxes where available.
b) Surfing and Activities
Risks are inherent in surfing and water activities. We take all reasonable safety measures but are not liable for accidents or losses sustained during activities.
10. Surfboard Rental & Insurance
- You are liable for damage or loss to rented equipment during use, whether insured or not.
- Staff will evaluate any damage and charge repair costs or replacement value accordingly.
- Optional insurance (IDR 287,000/day) covers accidental damage during normal use.
- Insurance excludes intentional damage, loss, theft, or negligence.
- Use all equipment responsibly and within your skill level.
- Sōleïa Surf is not liable for personal injuries during equipment use, insured or not.
11. Changes and Modifications by Sōleïa Surf
We may adjust itineraries, lesson schedules, or surf spots due to weather or safety conditions. You will be notified promptly of any changes.
12. Package Inclusions
- Airport transfers are included for stays of 7 nights or more.
- Yoga sessions, family dinners, and BBQs are included on specific days (limited availability for stays under 7 nights).
Not Included
- Boat transfers to outer reefs (IDR 100,000–250,000 per person).
- Entrance fees to beaches or surf spots.
13. Insurance
All guests booking with Sōleïa Surf must hold full travel and cancellation insurance prior to arrival.
Sōleïa Surf accepts no responsibility for loss, theft, or damage to persons or property during their stay.
We will not issue refunds caused by: visa refusal, entry refusal, flight cancellations, war, acts of God, injuries, or deaths of family members, relatives, or friends. In some cases a reschedule may be offered under specific conditions. We expect guests to have adequate cancellation insurance to protect against unforeseen events beyond Sōleïa Surf’s control.
14. Data Usage
Guests may be photographed or filmed during activities. By booking with Sōleïa Surf, you consent to the use of such content for marketing purposes on Instagram, Facebook, and other platforms.
